Heat Pump Service Terms & Conditions

1. Introduction

Welcome to Bloomsday Technical Services Ltd, trading as Banshee Boilers. We are pleased to offer our expertise in heat pump services. By using our services, you agree to the following terms and conditions. We may amend this Agreement at any time and will notify you of any amendments by posting the amended Agreement on our website or by sending you a copy of the amended Agreement by email.

2. Services Provided

Bloomsday Technical Services Ltd provide, maintenance, repair, and inspection of heat pump systems.

Annual heat pump service: The technician will carry out a comprehensive annual service on your domestic heat pump. This service encompasses various tests and checks, which are detailed below. During the service, our appointed technician will inspect, clean, and adjust the heat pump as needed. The specific scope of work will be detailed in the service report provided at the time of service. All visual checks and tests are conducted in compliance with SR50-4:2021 standards and in line with the manufacturer’s instructions, where available. The following checks are performed on the appliance, where relevant:

  • Initial inspection including signs of leaking on the heating components, errors on the controller and user habits and preferences.
  • Review of monthly electrical consumption for heating and hot water as applicable.
  • Detailed checks and readings may include but are not limited to:
    • System Pressure
    • Mechanical Strainer
    • Outdoor unit – coil and clearance
    • Potable Vessel
    • Zone Thermostats
    • Flow Rate
    • Backup Heater
    • Electrical Connections
    • Mag Filter
    • Glycol
    • Heating Vessel
    • Motorised Valves
    • Power Test
    • Immersion

 

Duration of Service: The duration of a heat pump service can vary depending on the make, model, location, and number of queries from the homeowner or users during the appointment.

3. Provision of Spare Parts

Identification of Parts Failure: During the service, our technician may detect parts or component failures. You will be informed of the replacement costs, and with your authorisation, the technician will supply and install the necessary replacement parts or components.

Replacement Parts: Replacement parts or components may not be identical to the originals and may not be from the original manufacturer. We are not responsible for any delays or unavailability of spare parts from suppliers or manufacturers. Removed parts will be taken away for proper disposal unless you specify otherwise.

4. Client Responsibilities

Access: Clients must provide access to the heat pump unit and heating system components for our technicians to perform necessary services.

Utilities: Clients must provide necessary utilities (electricity, water, etc.) required for performing the service.

Operation: Clients must operate heat pump units according to the manufacturer’s instructions to prevent voiding warranties. It is the owner’s responsibility to ensure the warranty remains valid and that the unit receives annual servicing from the date of installation.

Notification: Clients must inform us of any issues with their heat pump unit when booking a service appointment. If it is found upon arrival that the heat pump is non-operational or requires repairs beyond the scope of the service, your appointment may be cancelled. In this case, you will be eligible for a refund, excluding the deposit.

5. Payment Terms

Service Fees: All service fees will be paid at the point of booking or prior to the Service Technician attending to the appointment. We may, on occasion, accept payment on completion of a service.

Additional Costs: The Service Technician will advise you of any additional work outside of the scope of a heat pump Service prior to commencing any work and will only proceed with your agreement.

Quotes: Any quotes provided are subject to change based on suppliers pricing and the actual scope of work required.

6. Cancellations and Rescheduling

Cancellations: To cancel a heat pump service, please notify us at least 48 hours before the scheduled appointment. Multiple cancellations or lack of access may result in refusal to provide service at our discretion. Cancellations made less than 48 hours before the scheduled service will be eligible for a refund, excluding the deposit.

Servicing Rescheduling: Due to the nature of servicing, from time to time, we may not be able to attend your scheduled appointment. We endeavor to inform you of any changes as soon as possible and you will be offered a full refund or a reschedule appointment time to suit you.

Customer Rescheduling: Customers can reschedule services without penalty if done at least 48 hours in advance. See our on-line booking portal at BansheeBoilers.ie.

Termination/Refusal: Bloomsday Technical Services Ltd. reserves the right to terminate the heat pump service at any time. Service may be refused if the heat pump: (a) Is deemed unsafe, (b) Is damaged beyond repair not caused by us, (c) Can no longer be maintained due to lack of replacement parts, (d) Requires specialist training, equipment, or technical advice unavailable to us.

Upon termination or refusal, Bloomsday Technical Services Ltd. will have no further duties regarding the heat pump service.

7. Warranty and Liability

Warranty: Bloomsday Technical Services Ltd. offers a 30-day warranty on all repair services performed. The warranty covers parts and labour. This warranty does not cover issues arising from improper use, unauthorized modifications or lack of maintenance by the client. If problems occur with the heat pump after services are provided and the Technician returns and identifies that the issue is unrelated to the service performed, additional labour and parts costs may apply.

Manufacturer’s Warranty: Clients must adhere to the manufacturer’s guidelines to maintain the warranty on their heat pump units. Bloomsday Technical Services Ltd. is not responsible for warranty claims denied due to the client’s actions.

Liability: Bloomsday Technical Services Ltd. is not liable for any damages arising from any indirect, incidental, or consequential damages arising from the use of the heat pump system or from the client’s failure to comply with these terms and conditions.

Pre-existing Issues: Servicing a heat pump does not imply that the heating system complies with current standards or regulations. We are not responsible for any shortcomings attributable to the original design or installation.

8. Health and Safety 

Bloomsday Technical Services Ltd. adheres to all health and safety regulations. Your Service Technician is trained to perform services safely and efficiently. Customers are expected to maintain a safe environment for the service to be carried out.

9. Privacy Policy 

We are committed to protecting your privacy. Personal information collected will be used solely to provide the service and will not be shared with third parties without your consent. We will use and process your data in accordance with the provisions of the General Data Protection Regulations (EU) 2016/679 (GDPR) and Irish Data Protection Act 2018. We will use your data for the following purposes: (a) To assist in providing our services to you. (b) To help identify you when you contact us. (c) To improve our services. (d) To process payments. (e) For administration and accounting purposes. (f) For marketing purposes. (g) To assist in detecting or preventing crime or fraud.

We may monitor and record communications with you (including phone conversations and emails) for quality assurance and compliance.

Annual Notification: We may remind you of your annual heat pump service either by message or email.

Opt Out: If you prefer not to be contacted, please call us or email [email protected], and we will update our records accordingly.

10. Dispute Resolution

Any disputes arising from these Terms & Conditions, or the service provided will be resolved through negotiation in good faith. If a resolution cannot be reached, the dispute will be subject to mediation or arbitration as agreed upon by both parties.

11. Governing Law

These terms and conditions shall be governed by and construed in accordance with Irish law, and the parties submit to the exclusive jurisdiction of the Irish courts.
